Attendance Procedures

  1. 48-Hour Rule:
You have 48 hours from the date of the absence or tardy to excuse it. After 48 hours, we cannot change attendance marks unless accompanied by a doctor’s note.

  2. Leaving a Message:
When leaving messages on the Attendance line, please include:

    • Your student’s name
    • Your name
    • Absence or tardy date(s)
    • A brief reason for the absence or tardy (e.g., sick, vacation, medical appointment, family emergency, bereavement, religious holiday, or chronic illness—if you have a form on file)
  3. Medical Appointments:
If excusing a student for a medical appointment, a doctor’s note must be brought in within 48 hours to have the absence marked as a Medical Appointment (MA). Otherwise, a different absence code will be used.

  4. Early Release:
When calling to have your student leave campus:

    • Call at least 30 minutes in advance (preferably more)
    • Provide: student’s name, your name and phone number, reason for leaving, and time of sign-out
    • You do not need to come into the building to sign your student out. We can verify you over the phone, and your student can sign themselves out.
    • If the student returns, they must sign back in.
  5. Leaving at Lunch:
If a student is leaving at lunch for any reason other than getting lunch, you must call first so the absence can be excused in advance.

  6. Authorized Contacts:
Students may only be excused or released by a legal Parent/Guardian or Emergency Contact listed in the student’s file.

  7. Fridays or Pre-Holiday Breaks:
On Fridays or days before a holiday break, we may not be able to fulfill requests for your child to leave within 30 minutes of release time. Please call earlier in the day.

    1. You can call in the morning to have a note prepared for your student for any time of day.

    2. If a student accumulates 10 unexcused tardies, they must serve 1 hour in after school detention.

    3. If a student accumulates 10 consecutive days of unverified absences, they will be automatically withdrawn from Flagstaff High School.

    4. If a student is arriving late for school, they must have their FHS ID ready to scan using either their FHS ID card or the StudentVUE app on their phone or iPad.

    5. If a student arrives more than halfway through a class period, they are considered absent for that class period.

    6. Handwritten or typed notes from parents are not accepted to excuse an absence or tardy. You must call the Attendance line within 48 hours to excuse it.

    7. If your student has a Chronic Illness form on file and their absence is related to that illness, please state “chronic illness” as the reason when calling.

    8. Please check your student’s attendance every day or two on ParentVUE. Click the Attendance tab to review.
